As a receptionist, you will be working in a team of three covering all three of the receptionist desks spread across the 10 story building. As the face of the firm, a well presented, professional and approachable manner is essential, providing exceptional customer service to clients, visitors and colleagues. The reception team is the champion of the office.

Key Responsibilities

Visitor Management: - Meet and greet guests and clients, and direct accordingly, ensuring the relevant host is informed of arrival

Prepare tenant visitor list

Manage temporary access pass system

Work closely with building security and Facilities Management team to ensure access control system are fully operational at all times

Ensure all visitors sign NDA\'s and the NDA log is maintained adhering to professional standard principles

Switchboard/telephone: - Answer all incoming phonecalls, ensuring correct protocol for all types of call and directed accordingly using Avaya One X attendant

Take messages for Partners/Managers when assistants are unavailable

Room booking management: - Facilitate booking rooms across all floors and in our other offices globally using room management software (Manhattan Space Scheduling System)

Organise the set-up of team rooms and troubleshoot AV equipment issues

Coordinate catering/refreshment requests with the catering team

Set up new case codes on the room booking system

Video Conferencing: - Assist in arranging test calls with client sites and the other offices globally

Assist in ensuring video conferences are set up and ready for participants and trouble shooting to quickly resolve any issues before calling TSG (technology services group)

Lifestyle Services: - Manage bookings and appointments for therapists

Advertise Lifestyle Services to the office

Recommend, source and launch new services

General: - Receive and process all packages and post delivered including food deliveries

Train new temps covering holiday and sickness

Track arrival and departure of visiting colleagues for HR safety and security systems

Provide travel support (booking taxis and printing boarding passes)

Set up new joiners on the Uniware cashless payment system

Book temps for consulting teams

Awareness of procedures during a crisis (training will be provided)

Minimum 12 months experience in customer services/receptionist role

Experience of working in a demanding client driven reception environment, preferably professional services
